Offerline, LLC ("we," "us," or "our") operates offerline.ai (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

1. Information We Collect

1.1 Information You Provide

• Account Information: Name, email address, username, and profile information (bio, location) provided during registration
• CRM Data: Leads, deals, contacts, properties, tasks, notes, and other business information you create in the Service
• AI Learning Data: Preferences, patterns, and facts you teach your AI (e.g., "I prefer push notifications over email"). You control all AI learning and can export or delete it at any time in Dashboard → Learning
• Payment Information: Billing details processed securely through Stripe (we do not store full credit card numbers)
• Communications: Messages, feedback, and support requests you send us

1.2 Information Collected Automatically

• Usage Data: Pages viewed, features used, time spent, and interaction patterns
• Device Information: Browser type, IP address, operating system, device identifiers
• Cookies: Session cookies, preference cookies, and analytics cookies (see Section 8)

1.3 Information from Third Parties

• Google OAuth: Basic profile information (name, email, profile photo) when you sign in with Google
• Gmail Data: Email messages and labels if you connect Gmail integration (see Section 2)
• Google Drive Data: Documents you sync for AI-powered document intelligence (future feature)

2. Google User Data

2.1 Gmail Access

We request access to your Gmail account with the following scopes:

• gmail.readonly - View your email messages
• gmail.labels - View your Gmail labels

How we use Gmail data:

• Display your emails in the CRM smart inbox
• Link email conversations to leads and deals
• Enable context-aware follow-ups and AI assistance
• Search your emails within the CRM

What we DO NOT do with Gmail data:

• ❌ Modify or delete your emails
• ❌ Send emails on your behalf (readonly access only)
• ❌ Share your emails with third parties (except as required by law)
• ❌ Use your emails for advertising or marketing purposes

Gmail data retention:

• Cached message metadata: 30 days
• All Gmail data deleted when you disconnect the integration
• All Gmail data deleted within 90 days of account deletion

Revoking Gmail access:

You can revoke Gmail access at any time:

1. Go to Settings → Integrations in Offerline
2. Click "Disconnect Gmail"
3. Or visit: https://myaccount.google.com/permissions

2.2 Google Drive Access (Future Feature)

When available, we will request access to your Google Drive with the following scopes:

• drive.readonly - View your Drive files
• drive.metadata.readonly - View Drive file metadata

How we will use Drive data:

• Sync documents for AI-powered document intelligence
• Extract text for Brain AI context
• Enable document search within the CRM

2.3 Google API Services User Data Policy

Offerline's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

3. How We Use Your Information

We use the information we collect for the following purposes:

3.1 Provide the Service

• Authenticate your account and manage your profile
• Store and display your CRM data (leads, deals, contacts)
• Process payments and manage subscriptions
• Provide customer support and respond to inquiries

3.2 AI-Powered Features

• Power Brain AI chat with context-aware assistance
• Generate automated follow-up messages
• Extract insights from documents and emails
• Provide intelligent recommendations

3.3 Improve the Service

• Analyze usage patterns to improve features
• Monitor performance and fix bugs
• Conduct research and development
• Detect and prevent fraud or abuse

3.4 Communicate with You

• Send transactional emails (password resets, receipts)
• Send product updates and feature announcements (you can opt out)
• Respond to your questions and requests

4. How We Share Your Information

We do not sell your personal information. We may share your information in the following circumstances:

4.1 Service Providers

We share information with third-party service providers who help us operate the Service:

• Supabase: Database hosting and authentication
• Anthropic: AI processing for Brain chat (your data is not used to train their models)
• Stripe: Payment processing and subscription management
• OpenAI: Document embeddings for AI features (optional)
• Vercel: Application hosting and deployment

4.2 Legal Requirements

We may disclose information if required by law or legal process, including:

• Comply with court orders, subpoenas, or legal processes
• Protect our rights, property, or safety
• Investigate fraud, security issues, or Terms violations
• Respond to government requests

4.3 Business Transfers

If Offerline is acquired or merged with another company, your information may be transferred to the new owners. We will notify you via email and/or a prominent notice on our Service before your information becomes subject to a different privacy policy.

5. Data Security

We implement industry-standard security measures to protect your information:

• Encryption: Data encrypted in transit (TLS) and at rest (AES-256)
• Authentication: Secure OAuth 2.0 authentication via Google
• Access Control: Row-Level Security (RLS) ensures multi-tenant data isolation
• API Security: Server-side API key storage, rate limiting, and input validation
• Monitoring: Automated security scanning and intrusion detection

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

6. Data Retention

6.1 Active Accounts

We retain your information for as long as your account is active or as needed to provide the Service.

6.2 Deleted Accounts

When you delete your account, we delete your personal information and CRM data within 90 days. Some information may be retained longer if required by law or for legitimate business purposes (e.g., billing records).

6.3 Cached Data

• Gmail message cache: 30 days
• Document embeddings: Retained while documents are active
• Backup archives: 30 days (for disaster recovery)

7. Your Privacy Rights

7.1 Access and Export (GDPR Article 20 / CCPA)

You can access and export your data at any time:

• CRM Data: Go to Settings → Privacy → Export Data to download all your leads, deals, contacts, and properties
• AI Learning Data: Go to Dashboard → Learning → Export to download all preferences, patterns, and facts your AI has learned about you
• All exports are in JSON format for portability to other services

7.2 Correction and Deletion

• Update your profile information in Settings → Profile
• Delete individual records (leads, deals, contacts) in the CRM
• Forget AI learning: Go to Dashboard → Learning and click "Forget" on any pattern to make your AI stop using that information
• Delete your entire account in Settings → Privacy → Delete Account

7.3 Revoke Third-Party Access

• Disconnect Gmail in Settings → Integrations
• Disconnect Google Drive in Settings → Integrations (future)
• Revoke OAuth permissions at https://myaccount.google.com/permissions

7.4 Opt-Out of Marketing

You can opt out of marketing emails by clicking "Unsubscribe" at the bottom of any marketing email, or by updating your preferences in Settings → Notifications.

7.5 California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act:

• Right to know what personal information we collect
• Right to delete your personal information
• Right to opt-out of "sale" of personal information (we do not sell your information)
• Right to non-discrimination for exercising your rights

We use cookies and similar tracking technologies to improve your experience:

• Settings: Store your CRM preferences

8.3 Analytics Cookies

• Usage Analytics: Understand how you use the Service
• Performance Monitoring: Track errors and page load times

You can control cookies through your browser settings. However, disabling essential cookies may impact Service functionality.

9. Children's Privacy

Offerline is not intended for users under 18 years of age. We do not knowingly collect personal information from children under 18. If we discover we have collected information from a child under 18, we will delete it immediately. If you believe we have collected information from a child, contact us at support@offerline.ai.

10. International Data Transfers

Offerline is based in the United States. If you access the Service from outside the US, your information will be transferred to, stored, and processed in the United States. By using the Service, you consent to the transfer of your information to the United States.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will:

• Update the "Last Updated" date at the top of this page
• Notify you via email for material changes
• Post a notice on the Service dashboard

Your continued use of the Service after changes are posted constitutes your acceptance of the updated Privacy Policy.
